Caffrey Insurance Solutions, Inc. is a licensed insurance brokerage based in Alameda, California. We help employers and individuals find, compare, and manage health insurance and employee benefits. This policy explains how we collect, use, and protect your information.
Information We Collect
Contact information: Name, email address, phone number, and business information provided when you contact us, request a quote, or use our employer portal.
Portal account information: Client ID, login credentials, and mobile phone number (for SMS verification).
Employee benefits data: Census information (names, ages, dependents, coverage selections) provided by employers for the purpose of obtaining insurance quotes and managing benefits enrollment.
Website usage: Standard web server logs and analytics data. We do not use tracking cookies for advertising.
How We Use Your Information
We use your information to:
- Provide insurance quotes and benefits consulting services
- Administer your employer benefits portal account
- Send one-time SMS verification codes for portal login security
- Communicate with you about your coverage, renewals, and compliance requirements
- Respond to your inquiries
We do not sell your information. We do not use your information for marketing purposes unrelated to your insurance needs.
SMS Verification
When you use the Caffrey Insurance employer portal, we collect your mobile phone number to send one-time verification codes via SMS. This is required to secure access to your portal account, which may contain protected health information (PHI) as defined under HIPAA.
What we collect: Your mobile phone number, stored securely in our portal system.
How it is used: Solely for sending one-time login verification codes. Your number is not used for marketing, promotions, or any other purpose.
Third-party service: Verification codes are sent via Twilio, a third-party communications platform. Twilio processes your phone number only for the purpose of delivering the SMS. See Twilio's Privacy Policy.
Opt-out: You may opt out of SMS verification at any time by replying STOP to any verification message or by contacting us. Note that opting out will require an alternative verification method to access the portal.
AI-Assisted Benefits Questions
Our employer portal includes an optional tool that lets employees ask plain-language questions about their own benefits (for example, “What is my deductible?”). To generate answers, your question and the relevant details of your plan are processed by Claude, an AI model provided by Anthropic and accessed through Amazon Web Services (AWS) Bedrock.
Sub-processor: AWS Bedrock acts as a sub-processor for this feature. AWS is a HIPAA business associate of Caffrey Insurance Solutions under a signed Business Associate Agreement (BAA), and any protected health information processed by this tool is handled under that agreement.
No model training: Your questions and benefits information are used only to generate a response to you. They are not used to train or improve any AI model, and are not retained by or shared with the model provider for that purpose.
Not formal advice: AI-generated answers are provided for convenience and general understanding only. They are not a substitute for your official plan documents or advice from your broker. Always confirm coverage decisions with us or with your plan's summary of benefits.
Data Security
We take reasonable measures to protect your information, including encrypted connections (HTTPS/TLS), signed authentication cookies, idle session timeouts, and two-factor authentication for portal access. Employee benefits data that constitutes protected health information (PHI) is handled in accordance with HIPAA requirements.
Information Sharing
We share your information only as necessary to provide insurance services — for example, submitting census data to insurance carriers to obtain quotes, or transmitting enrollment information to carriers during open enrollment. We do not sell, rent, or share your information with unrelated third parties.
Your Rights
You may request access to, correction of, or deletion of your personal information at any time by contacting us. California residents may have additional rights under the CCPA.
